General Terms & Conditions

As a member of our Friends of the Family loyalty program, you have the opportunity to advance through our membership tiers, thus entitling you to exclusive rates, perks, and rewards. Additionally, you can accumulate points through your membership, which can be redeemed as currency for future stays.

Please note that our corporate loyalty program is no longer in effect. Each member’s profile and points are individual and cannot be consolidated into one main company account. If your company prohibits the receipt of loyalty program points, you have the option to opt out of receiving them.

Introduction

The following conditions apply to memberships of Guldsmeden Hotels loyalty program, Friends of the Family. The loyalty program is owned and operated by Hotel Guldsmeden.com ApS, Central Business Register no. (CVR-no.) 32562403, Gullfossgade 4, 2300 København S, Denmark.

We advise you to read our following terms and conditions thoroughly before becoming a member.

1.1. Membership

A membership of Friends of the Family is personal and only available to persons over the age of 18. The membership and benefits cannot be used by anyone apart from the individual member.

When enrolling and becoming a member of the Friends of the Family program, we will ask you to provide us with your name, address, telephone number, and email address. Through this enrolment, you consent to receiving email communications from us, which may include updates on our accommodations, exclusive promotions, and information about upcoming events at Guldsmeden Hotels.

1.2. Consent

The member consents and accepts registration and processing of personal information by Guldsmeden Hotels in accordance with prevailing legislation and the following membership terms and conditions. Guldsmeden Hotels will comply with legislation regarding the processing of personal information on the data a member agrees to provide.

By signing up for our newsletter (which includes purchase and bonus redemption information) and accepting the terms and conditions, you consent to your personal

information being used by Guldsmeden Hotels and derived businesses to administer your Friends of the Family membership, including storage and calculation of bonus points.

Members’ address, email address and telephone number may be used to send out information and offers within the framework of applicable governing Danish Data Protection laws and regulations

1.3. Rights

We want to assure our members that they have control over their personal information. Therefore, we offer the right for our members to review and correct any personal information that we may have on file. In addition, members always have the option to withdraw any given consent that allows Guldsmeden Hotels to collect and process their personal information. Please note that if a member chooses to withdraw consent, this will result in a termination of the Friends of the Family membership, in accordance with section 1.10.

1.4. Membership Profile

A membership profile will be created on the Friends of the Family webpage: https://guldsmedenhotels.com/friends-of-the-family-2/, where your points will be visible and collected. Any accumulated points can be redeemed as a form of payment for future bookings made directly through our website.

The amount you accumulate on each booking can vary from 20.000-150.000 points depending on hotel and room category. The number of points that need to be accumulated in order to use them will likewise vary depending on your intended use.

In case of cancellation of a reservation booked with points, the number of points used will be returned to your accumulated balance, if it follows the hotels standard cancellation policies.

1.5. Misuse

In the event of any misuse of the membership to the loyalty program, Guldsmeden Hotels reserves the right to exclude the member in question from the program. Such misuse may include, but is not limited to, behavior which is troublesome or shows a lack of respect towards the staff, partners or hotels, criminal actions or actions which are generally perceived to be immoral, unethical, or contrary to our membership terms and conditions.

1.6. Membership tier and points

When a membership profile has been created, the member will be given the tier level, ‘Friend’. The member will rise in tier level based on the accumulating number of nights stayed at our hotels. To be upgraded to a higher tier level or keep your current tier level, the following number of qualified stays are required at Guldsmeden Hotels during a 12-month period beginning from the date on which you joined the loyalty program ('personal member year’).

The member can increase from Friend – Best Friend (6 nights), Best Friend – BFF (21 nights), to BFF – Soulmate (50 nights).

If a member is inactive for more than 365 days since signing up, the member will lose their given Friend of the Family status (Friend, Best Friend, BFF, or Soulmate) and move down one tier level. The lowest tier level is Friend, no matter the amount of inactivity.

The membership tier level is valid for the year in which the member qualified as the given tier level and the following personal member year. However, if the member has been inactive for more than 24 months (2 years), the membership profile will be inactive, and all points will be lost.

1.7. Earning points

Members will earn one point per 1 DKK* spent at one of our hotels, except for Eyja Guldsmeden. The hotels included in the loyalty program can be found in the Hotel Appendix List.

You do not earn points when redeeming free nights.

Furthermore, a member only earns points if they are logged in to their membership profile on our website when making a reservation. Points will be earned and added after check-out. Please note that it may take up to 48 hours after check-out for points to be credited to your account balance and visible on your membership profile. A member is individually responsible for one’s own points, and these points cannot be transferred to another member’s profile.

Please be advised that points will not be awarded for any nights spent at our hotels prior to becoming a member. If a member forgets to sign-into their membership profile when booking an online stay, points will not be awarded.

You earn points regardless of who pays for the stay. However, you only earn points for your own night, e.g. for one room and one person.

All types of hotel nights and stays entitle you to earn points, including campaign offers. You do not earn points for free overnight stays or for stays made on behalf of other guests, including for friends, family, colleagues, or employees. Additionally, you do not earn points for hotel stays booked with external travel agencies or Online Travel Agencies, regardless of the price paid. Points are only earned through our website www.guldsmedenhotels.com.

*For stays in Oslo you will be awarded 1 point per 1 NOK spent.

*For our property in Germany, 7.5 points will be awarded per 1 EUR spent.

1.8. Private use of bonus points

Private use of bonus points that have been earned in a work connection may, in certain jurisdictions, such as Sweden, Norway, Finland and Denmark, be regarded as taxable income.

It is the member’s individual responsibility to inform relevant authorities of this and to pay all applicable taxes and fees resulting from this use. Friends of the Family abstain from all responsibilities or liability regarding taxes, which is mandatory for the member in this connection.

1.9. Six-month notice

Guldsmeden Hotels reserves the right to wind up the Friends of the Family program with a six-month notice period to all members. Any such notice will be sent by email, or through a clearly and visible notice on the Friends of the Family website in a period prior to the wind-up.

1.10. International Disclaimer

Should the Friends of the Family program be discontinued due to conditions pertaining to a country’s legislation, a court decision or a prohibition by a country’s public authorities, Guldsmeden Hotels will not be responsible for any losses to the individual member, which may arise from this winding-up.

The Friends of the Family program will to the best of our abilities, attempt to inform the individual member quickly of circumstances described under this point, should it arise. Point 1.8 above does not apply in the case of discontinuation in accordance with this section.

1.11. Membership cancellation

Members can cancel their membership of Friends of the Family at any time. Any such cancellation must be sent via email to: friendsofthefamily@guldsmedenhotels.com.

Cancellation will take immediate effect from the date on which Friends of the Family receives the notice of cancellation. The member profile will be deleted automatically, and all personal data will be removed from our systems

1.11.1. Cancellation of a membership, on any ground, means that you can no longer use earned bonus points, cf. Section 4.1. on the requirements for active membership when using bonus points.

1.11.2. When becoming a member and consenting to the Friends of the Family program, the member accepts that Friends of the Family is free to unilaterally change the membership terms and conditions without giving further notice to the individual member, cf. section 1.11.4. Such changes will, unless otherwise stated, take immediate effect. Friends of the Family will, however, publish changes to the terms and conditions on its website. Members are responsible for keeping themselves updated in relation to any changes to the terms and conditions.

1.11.3. The membership terms and conditions published on our website are to be considered the applicable membership terms and conditions for the Friends of the Family program.

1.11.4. Friends of the Family reserves the right to, without prior notification to individual members, change the terms and conditions of its loyalty program. Any material or significant changes will be published clearly on the website and informed of by newsletter 1 month prior to taking effect, and will be effective immediately after the timeframe, unless otherwise communicated. Members are responsible for keeping informed about any changes to the membership terms and conditions.

1.11.5. Bonus points are valid for 24 months (2 years) from the day on which they were earned. After this time the bonus points will become invalid and subsequently cannot be used. Friends of the Family reserves the right to deduct any incorrectly posted/earned points without notice.

If your account has been inactive for 24 months, points earned to your account will be deactivated and subsequently deleted. By accepting the terms and conditions you are agreeing to the abovementioned terms and conditions.

1.11.6. Danish law and jurisdiction apply to any dispute that may arise or derive from the terms and conditions, and which otherwise cannot be resolved amicably. Any questions regarding membership, accumulating points, consent and data or other complaints can be directed to friendsofthefamily@guldsmedenhotels.com.

The membership terms & conditions are effective from January 2022. The membership terms and conditions were revised on September 29, 2023, and thus replacing all previous versions
